IIR continued to utilize the Smartsheet subaward process tracker for recording and monitoring subaward status activity, which was also reported to BJA on weekly status conference calls. BJA was also provided with real-time access to the Smartsheet SWB dashboard that provides data illustrations on the initial applications as well as statuses on the subaward process activity, including a subaward allocation overview. In addition, IIR provided ongoing access to the SWB dashboard and held weekly status conference calls with BJA. IIR also provided BJA with quarterly reports, which included comprehensive summaries of program activities and subaward statuses.
By the end of this reporting period, the status of each recipient agency in the subaward process was as follows:
Of the 52 subawards:
o 2 were in the quote submission phase,
o 2 were in the purchasing/invoicing phase,
o 15 were in the implementation phase,
o 1 was in the post-implementation evaluation phase, and
o 32 completed their program requirements.
IIR provided ongoing outreach and communication to all subaward recipients throughout the reporting period. During this period, two inquiries were received via the website’s Contact Us form and 15 received via email, whereas most communication comprised personal phone calls directed to specific staff members (e.g., contracts, accounting, program staff).
