In May, CSG Justice Center staff, along with expert consultant Dr. Sarah Desmarais, continued to work on socializing the guidelines. The project team also continued to finalize the deliverables and incorporate feedback from BJA reviews, which included designing the website; reviewing mock-ups and PDF versions of the designed publications; drafting the website copy and talking points; developing an additional one-pager targeting legislators; and beginning to develop the promotional toolkit.
The CSG Justice Center project team held calls with advisory group member Dr. Ralph Serin, as well as CLA staff and APPA members, to socialize the guidelines and get initial feedback regarding the best way to communicate these guidelines to stakeholders.
Throughout the month, the project team continuously met with internal CSG Justice Center colleagues, including the Communications team, to brainstorm ideas for the risk and needs assessment guidelines project, outreach strategies, and request general feedback.
On May 2, CSG Justice Center staff met with APPA Director Veronica Cunningham to discuss the risk and needs assessment guidelines project and request her collaboration in recommending participants for the probation and parole town hall sessions. Following the call, CSG Justice Center staff drafted an information and invitation email for probation and parole leaders, which was shared with APPA for distribution. APPA also shared a list of the probation and parole leaders to whom they would be sending the invitation.
Throughout the month, CSG Justice Center staff tracked RSVPs for the invitations shared with probation and parole leaders, sent follow-up emails, shared a Doodle poll link to track availability, and drafted discussion questions for the town hall sessions. Per participant availability, three town hall sessions were scheduled with probation and parole leaders—one in May and two in the first week of June.
On May 26, CSG Justice Center project team had a project check-in call with BJA, which included discussion about the town hall sessions, promotion, and approval for pending items. Per BJA guidance, the project team will not be expected to organize a launch event, but rather focus on an effective release strategy to promote the new resource. Following the call, CSG Justice Center staff shared invitations to the upcoming town hall sessions with probation and parole leaders, as well as a list of those invited and who had RSVPed.
On May 31, the CSG Justice Center project team held the first town hall session with probation and parole leaders to socialize the guidelines and get feedback. In preparation for the discussion, participants received embargoed copies of the executive summary, the full guidelines document, and the FAQ for directors. Participants were also asked to consider the following questions:
• What are the challenges your agency faces regarding risk and needs assessment?
• When implementing these guidelines, who needs to be involved?
• What do you consider is the best way to talk to your peers about moving this project forward?
• Is there anything that stands out to you or questions that arise when reading these documents?
• When thinking of technical assistance, of these guidelines, what have you already done, which would you like to do now, where do you anticipate the biggest implementation challenges, etc.?
